To create an email group in Gmail, create a label in Google Contacts, add the people you want and select that label when composing a message in Gmail on a computer. Gmail expands the label into individual recipients. Check those addresses before sending, especially when the group contains people who should not see one another’s email addresses.

This method suits a reusable list such as a small club, family group or project team. It does not create a new shared email address or shared inbox. For those needs, Google Groups or your organization’s Workspace administration may be more appropriate.

Understand contact labels before creating the group

A Google Contacts label groups contact records. A Gmail mail label organizes messages in your inbox. They use similar wording but solve different problems. Creating a folder-like label in Gmail’s left sidebar will not create a recipient group.

Start at Google Contacts while signed in to the same Google account you use for the outgoing email. A group created under another account will not automatically appear in the Gmail account you meant to use. When a colleague needs to help handle the mailbox, Gmail delegation addresses a different need from an email group: access to the inbox rather than a list of recipients.

Give the group a name that is easy to distinguish from an individual contact. For example, a fictional neighborhood club could use Garden Club Volunteers rather than Garden. A precise name reduces the chance of choosing the wrong suggestion later.

Create the contact group

Google documents the label workflow in its Contacts group instructions. Using the desktop website is the clearest route because you can review membership and compose the test message on a larger screen.

1. Open Google Contacts on your computer.
2. Beside Labels in the left navigation, choose Create label.
3. Enter the group name and save it.
4. Select the contacts you want included by checking their boxes.
5. Choose Manage labels, select your new label and apply the change.
6. Open the label from the left navigation and review its members.

If a person is not in your contacts, add a contact record with the correct email address first. Do not create an entry from a remembered name alone. Confirm the address through a source you trust, particularly when several people have similar names.

Send a message to the label from Gmail

Open Gmail on your computer and click Compose. Start typing the group label’s name in the recipient field, then choose the matching suggestion. Gmail should expand it into the contacts included in that group.

Before writing the message, examine the expanded addresses. A group label is a convenience, not a replacement for checking recipients. Remove any person who should not receive this particular message, and confirm that important recipients are present.

For a first test, create a small label using addresses you control or people who expect the test. Send a simple message that clearly identifies the test, then verify delivery. This lets you learn the workflow without unexpectedly mailing a large audience.

Google’s Workspace Contacts guide also explains creating contacts, updating details and communicating with groups. If you are in a managed organization, administrator settings can affect what you can access or send.

Choose To, Cc or Bcc deliberately

Use To when the recipients are the main participants and it is appropriate for them to see the addresses listed. Cc is useful when people should be visibly copied. Bcc is often preferable when unrelated recipients should not receive a visible list of everyone’s address.

For a club announcement, you could place your own address in To and the intended list in Bcc. Check the expanded recipient list in the chosen field before sending. Do not assume that using a group name means Gmail conceals its members.

Think about replies too. A visible discussion among a small team has different needs from a one-way reminder to many independent customers. Choose the workflow based on what recipients expect, not merely on which field fills first.

Add, remove and update group members

Return to Google Contacts when membership changes. Open the label, select a contact and adjust its label membership. Removing the group label from a contact is different from deleting that contact record, so choose the narrower action when someone is simply leaving a project.

Review the group before reusing it after a long break. People change jobs, abandon addresses or leave organizations. A list that worked last year may no longer describe the audience you intend today.

If a contact has several email addresses, Google notes that a label group uses the contact’s default address. Pay close attention when someone has personal and work email addresses. Review the expanded address in Gmail rather than assuming the contact’s display name guarantees the right destination.

Changes to Contacts should be checked in a newly composed message. An already expanded draft contains recipients you previously selected, so inspect that draft separately instead of assuming every address will silently update to match your revised label.

When you need a real group address instead

A Contacts label is personal address-book organization. If several team members need to send to one persistent group address or manage a membership list centrally, investigate Google Groups and your organization’s supported setup.

A shared inbox is another separate requirement. A contact group does not allow several people to read and answer the same incoming mail automatically. Describe whether you need a mailing list, shared inbox or merely faster addressing before choosing a tool.

For recurring marketing messages, consider a purpose-built mailing platform with appropriate subscription and unsubscribe management. An ordinary Gmail label does not remove Gmail’s sending limits or turn a personal mailbox into a bulk email service.

Troubleshoot a missing group suggestion

Confirm that Contacts and Gmail are open under the same account. Check that the label contains contacts with usable email addresses. Then refresh Gmail and try composing a new message, typing enough of the label name to distinguish it from other suggestions.

If only one person is missing, review that person’s contact record and membership instead of recreating the entire group. If the label expands to the wrong address, correct the contact information and check the expanded recipient again.

The Gmail phone app may not present the same contact-label workflow as the desktop website. Use the computer route for group setup and first verification rather than assuming every mobile version supports identical controls.

Frequently asked questions

Does a Gmail group have its own email address?

A Google Contacts label does not create a new address. It expands the saved membership into individual recipients when you compose a message.

Can recipients see everyone else in the group?

They can see addresses placed in visible recipient fields. Choose Bcc when address privacy is needed and verify where Gmail placed the expanded list.

Does deleting a group delete all its contacts?

Label management and contact deletion are different actions. Read the confirmation and choose the action that removes the grouping rather than contact records if that is your goal.

Why does Gmail choose someone’s old address?

Inspect the contact record, its default email address and the expanded recipient in your draft. Update outdated information and verify it in a new message before sending anything important.
